How do you bring your old Accounting Data into Evolution?

Evolution makes it easy to import data from your present accounting package: AccPac, Simply Accounting, Siebel, QuickBooks, SAP and any other accounting solution. Just about every "old style" accounting solution has the ability to export your present balances into a standard "delimited" type file. From there you simply use the "Evolution import wizard" to map the old fields to your new Evolution, import your data and viola! All of your old information is now live, and you can continue doing business like you always had, just more efficiently and effectively.

If it is your desire to maintain your old accounting system while using Evolution as your solution for every other area of your business, custom plug ins can be created to enable Evolution to communicate to your old software packages. The same plug in technology can also be used to create new import features for packages that don't allow information export functionality. The important truth is, moving your old data to Evolution is easy and fast.

Warning!

Often "old type" accounting packages allow poor data to be stored in sensitive fields. For example, some companies allow you to enter "negative invoices" as a way to offset your debit and credit accounts. 

Other packages allow you to enter invalid date fields like "Tomorrow" instead of 02/05/06 into your accounting or CRM software. Importing "broken" data as such into Evolution creates a major risk of "breaking" parts of Evolution's integrated automated accounting practices therefore we politely recommend transferring your present GL account balances to Evolution and phase out the old system as time passes. No need to perpetuate a potentially already broken system. What about payroll and taxes?

Because Evolution is a multinational software package used in countries across the world, Evolution does not (out of the box) integrate directly with every government's continually changing tax laws. Evolution does however perform a "Gross Payroll Report" that can easily be plugged directly into your Government's taxation website, other software, or sent to a payroll company that handles all of your annual taxes. We may be releasing taxation plug ins in the months to come that integrates with every government's tax servers and completely automates your employee payroll tax routine, however this is yet another vast undertaking that may soon be done. Because it is so easy to post your payroll data through your government's systems, we have not been asked by our customers to expedite a taxation plug in implementation. We may create his functionality at a later date just because we can, however things work very well just as they stand.

Note:

The vast majority of the time it is more cost effective to contract outside taxation forms to take care of your annual taxation needs. Even if we created a taxation plug in to communicate with government processes, quite often it will still be more cost effective to use an outside firm for your corporate taxes. This is yet another reason why we have not created a taxation plug in for Evolution. In keeping with the ethos of our software, we will most likely develop a taxation plug in for Evolution anyway. When this task is complete you will more than likely receive it as a free upgrade for your Evolution software.

A Brief Description of the Software

Evolution accounting can be done in two major ways:

1. Through the General Ledger
2. Through the client account A/R and A/P windows.

This has been done to appeal to two different types of audiences: 1. Accountants and 2. The rest of the world. The General Ledger is always preferred by accountants and those with accounting backgrounds and the Client Account Windows are generally preferred by managers, staff members and small business owners that work directly with the accounts on a daily base and quite often but have no working knowledge or need to manage their General Ledger. In these cases the GL tends to be an after thought that must be separately updated after the daily or weekly work is done. The success of handling accounting from both points of view is what mainly makes Evolution's GL performance so powerful. For example: As soon as a staff member enters an invoice or completes a shipment, Evolution automatically performs all accounting adjustments needed and any accountant (or staff with appropriate security permissions) in the organization can see the information "live" on a second by second basis. The GL is always current and up to date.

The GL:

The Evolution GL looks and feels like any other GL therefore learning curve is a breeze: It can be done in just seconds or short minutes. With the Evolution GL you can quickly search for specific names, invoice amounts, entry dates and other criteria in order to quick reference and track bills, payments, or invoices outstanding. Our GL tool is made powerful not only because is it live updated on a second by second basis, but it also because it contains the complete accounting data of all of your corporation; even sub divisions at all times. Accessing this data in a live fashion has almost limitless possibilities. The Evolution GL can be setup differently for every company or division you operate and can be translated into any international language. The Client Window:

As mentioned earlier the second way of operating Evolution accounting and the GL is through the Client Windows. These windows are intuitively designed so that workplace performance is optimized and error free.

Creating invoices and even complex invoice adjustments can easily be done through Evolution. Taking payments on invoices and even partial payments on invoices is also automated and done in a flawless integrated fashion. With Evolution there will never be partial payment or deferral problems corrupting your GL information, or other similar business cases.
